Room Reservation(Monday to Friday )
1. Purpose of Use
The facility is available exclusively for HSBC Employees in support of official business and learning-related events. Learning events will be prioritised. Bookings for social or celebratory occasions—including year-end celebrations, Christmas parties, or similar gatherings—will not be accepted.
2. Third-Party Bookings
The facility may not be reserved on behalf of external businesses, associations, or charitable organisations.
3. Media and Press Access
No media or press representatives are permitted on-site without prior approval from the Communications team. A copy of the written approval must be submitted to the Frasers Event team.
4. Signage and Branding
External company logos may not be displayed within the facility. Exceptions will be made only for co-branded events.
5. Eligibility to Book
Primary visitors to HSBCU China are GCB4 and above. The host’s name must be clearly stated at the time of booking. For Boardroom and Private Dining Room bookings, the host must be MD and above.
6. Advance Bookings and Allocation
Reservations may be made up to six months in advance. Final allocation of spaces will be at the discretion of the Events team, based on suitability and availability.
7. Arrangements
Food and beverage must be finalized with the Event Team a minimum of 10 days prior to the arrival date.
*Special arrangements can be made if event start or end times are outside of the operating hours and may incur additional labour charges.
