Fraser Suites Perth is seeking the expertise of a passionate, motivated, and experienced Long Stay & Group Reservations Coordinator to join our team. 

The Opportunity

Our Reservations Department is key to our business, with the responsibility for selling our guest rooms whilst maximising rate and inventory. 

Our Reservations team  must do so with a sense of pride, passion and professionalism, as well as strong attention to detail and the ability to multi task. We are looking for an exceptional person who shares our passion and works together for a common purpose to exceed guests’ expectations.

The Role

Reporting to the Director of Sales and Marketing, the Long Stay & Group Reservations Coordinator will take ownership in managing the long stay guests and coordinating group reservations to ensure a smooth and enjoyable experience for all guests. This position will play a pivotal role in driving sales and maximizing the conversion of both long stay and group segments

Key responsibilities will include:  

• Long Stay Coordination
  • Managing long-term guest reservations and ensuring a seamless check-in and check-out process for extended stay guests.
  • Serving as the primary point of contact for long-term stay inquiries and reservations, providing personalized assistance and information to prospective long-term guests
  • Assisting long-term guests with any special requests or requirements they may have during their extended stay.
  • Group Reservations Coordination
  • Handling group reservation inquiries and coordinating bookings for groups.
  • Liaising with tour operators, travel agencies, and event organizers to facilitate group bookings and ensure all requirements are met.
  • Negotiating group rates and packages to attract and accommodate larger groups while maximizing hotel occupancy and revenue.
  • Customer Service and Communication
  • Communicating effectively with guests, internal departments, and external partners to coordinate long-term stays and group bookings efficiently.
  • Resolving any issues or conflicts that may arise during long-term stays or group events, striving to ensure guest satisfaction and loyalty.
  • Anticipating the needs of long-term guests and group clients, proactively offering solutions, and enhancing their overall experience at the hotel.

About You

The successful candidate will be required to possess the following attributes:

Previous experience within a reservations or sales coordination positions

• A comprehensive understanding of reservations systems
• Ability to use initiative and judgment and to adopt a flexible approach to work
  • Ability to complete tasks in a timely and thorough manner and follow directions as required
  • Well-developed organisational skills complimented with a high level of attention to detail
  • Exceptional oral and written communication skills
  • Competent Word, Excel, PowerPoint and software packages
  • Ability to build rapport with team, guests and visitors
  • Engaging, personable and friendly
  • Ability to work in a fast paced environment
